Data Policy
Who owns the records on this platform, where they are kept, and how to get them back.
1. Who owns the records
You do. The animals, farms, cases, treatments, stock and financial records you enter belong to you and to the farm they describe. Lambutech Africa Limited holds them so that the platform can do its job; it does not acquire them by holding them.
We will not sell your records, use them to train anything, or hand them to a third party for their own purposes. Where we publish figures about the platform, they are aggregated and carry no farm, animal or person in them.
2. What the platform stores
- Animal records — identification, breed, parentage, weights, movements, and a lifetime history of everything recorded against the animal.
- Veterinary records — cases, visits, diagnoses, treatments, drug withdrawal periods and vaccinations.
- Farm records — the farm, its herds, its owner, and the staff posted to it.
- Operational records — inventory and stock movements, suppliers, expenses, income and production.
- The activity log — who changed what, and what it was before.
- Attachments — files uploaded against a record.
3. Accuracy
We store what you enter. The platform checks what it can — a treatment cannot draw stock that does not exist, a case cannot skip its own workflow — but it cannot know whether the tag number you typed is the animal in front of you.
Clinical records are the ones that matter most here. Another person may treat an animal on the strength of what you wrote, so write it carefully.
4. Who can reach what
Every request is checked twice: does the role carry the permission, and does the user reach the record's farm. A permission on its own is never enough.
- Farm owners reach the farms they own, and nothing else.
- Veterinary and field staff reach the farms they are currently posted to. Removing a posting removes the access with it.
- Administrators reach every farm on the platform.
- Exports and search obey the same rule, so neither is a way around it.
5. Where records are kept
On servers operated by our hosting provider. Backups are taken on the hosting provider's schedule. Where records are processed outside Nigeria, we take the steps the Nigeria Data Protection Act requires for cross-border transfer.
6. Deleting things
Records here are evidence, so removing one is a decision rather than a keystroke.
- Most records are archived rather than erased, so a mistake can be undone.
- An administrator's deletion is raised as a request for a super administrator to approve or refuse, with a reason on both sides — unless a super administrator has switched that requirement off.
- Deletions that would strip other records of their context are refused outright.
- Every deletion, requested or carried out, is written to the activity log.
7. Getting your records out
At any time, without asking us. Exports produces CSV, Excel or PDF for every dataset your role can read: animals, cases, treatments, vaccinations, inventory, stock movements, expenses, income, production, field reports, farms and accounts.
If you need a complete copy in another form — for a migration, or because you are leaving — write to support@lambuvet.com and we will provide one.
8. If you stop using LambuVet
Your records remain yours. We will provide a complete export, and after a reasonable period for you to confirm you have it, we will delete the records we hold — except anything a law requires us to keep, which we will name at the time.
We will not delete a farm's records on the request of one person where other people depend on them; ending an organisation's use of the platform is a decision for whoever holds the account with us.
9. Demonstration data
A new installation may be seeded with sample farms and animals so the platform can be demonstrated before real records exist. It is clearly marked, tracked separately, and removed in one action at handover — the removal takes only the sample records and leaves everything entered since untouched.
